1. Who we are
We are the data controller responsible for the personal data you provide when you apply for a role or are added to our talent pool. This notice explains how we handle that data under the EU/UK General Data Protection Regulation (GDPR).
2. What data we collect
We collect the information you submit on the application form, including your name, contact details (email and phone), gender, date of birth, nationality, country of residence, availability, expected salary or rate, professional references, and the contents of your CV.
We also generate derived data, such as a structured summary of your CV and a match score produced by automated assessment tools.
3. How we use your data
We process your data to assess your suitability for roles, to contact you about opportunities, and to manage your progress through our recruitment pipeline. Our lawful basis is your consent, which you give when submitting your application, and our legitimate interest in recruitment.
4. Automated decision making
We use AI assisted tools to help rank and shortlist candidates against a role. These tools produce a score and a written rationale. Automated assessments never make a final decision on their own: a human recruiter reviews outcomes before any decision that affects you. We keep an audit trail of every automated assessment, including the inputs used, the score produced, the factors involved, and the model version.
You have the right to request human intervention, to express your point of view, and to contest a decision based solely on automated processing.
5. Data retention
We keep candidate data for a default period of 24 months from your last interaction, after which it is flagged for review and deletion. You can ask us to delete your data sooner at any time.
6. Your rights
You have the right to access the personal data we hold about you, to correct inaccurate data, to request erasure, to restrict or object to processing, and to data portability. To exercise any of these rights, contact us using the details below and we will respond within one month.
7. Data security
We store your data securely and restrict access to authorised recruiters. Access to candidate records is logged for accountability. CVs are stored in private, access controlled storage.
